Who we are
Lichfield Arts is a registered Charitable Incorporated Organisation (CIO) (charity number 1156217). Lichfield Arts’ registered office is Donegal House, Bore Street, Lichfield WS13 6LU.
When we collect information
Information is essential to us for ensuring we can attract audiences, volunteers, members and supporters. It helps us operate as efficiently as possible and to make sure our interactions with you are timely, relevant and tailored for you. We hold personal data for the lawful basis of Performance of Contract and for the lawful basis of legitimate interest.
We collect information about you in the following ways:
- When you buy a ticket from us for an event;
- When you sign up to our mailing list, either via our websites or on a feedback form;
- When you register as a volunteer with us;
- When you give us your details if you participate in one of our events (Outreach projects, competitions, workshops);
- When you make a booking for a private bar;
- When you take up membership of our organisation.
What information we collect
Depending on how you interact with us, the information that we collect may include your name, postal address, email address, telephone or mobile number, bank/payment details, your contact preferences, details about your interests (for example, music genres of interest), skills which may be useful if you are registering for volunteering purposes, and how you found out about Lichfield Arts.
How we use your information
We will ask for your consent before we use your information for certain purposes. We may use your information where we have a legitimate interest in order to carry out our activities. Examples include:
- To provide you with the services, products or information you have requested, or that we feel would be of interest to you
- To process your payments and verify financial transactions
- To process orders, deliver products and communicate with you about ticket purchases
- To provide updates on our work as well as tell you about other ways you might be able to support us
- To keep a record of your relationship with us
- To ask you to participate in surveys or give feedback
- To invite you to meetings
- To understand our customers better and develop audience propositions
Your details will be stored on our secure file server which is backed up on a regular basis, with the backup stored off-site. Your details will be entered onto relevant Mailchimp email marketing lists if you have given consent for us to contact you by email.
Any information submitted via our website(s) is transmitted using a secure encrypted (SSL) connection. All web sales transactions are handled by our payment partner PayPal and Lichfield Arts does not receive or store your bank or card details.
Who we share your information with
Your details may be shared with Lichfield Arts staff and volunteers who are organising other Lichfield Arts events. We pass mailing address data onto our mailing partner, Yes Response Limited, for customers who have requested postal mailings. Yes Response Limited store data on secure servers which are backed up daily and data is stored on an encrypted back-up device. They only use the data provided by us for the specified mailing and then delete it from their system. We never pass on your data to any other third parties.
How we keep your information safe
We make sure that appropriate physical, technical and human controls are in place to ensure we take good care of your information. All staff who have access to your personal data understand the importance of keeping your information safe and secure at all times and are given training to support them in this.
Our password protected office computers are backed up on a regular basis, with the backups securely stored.
How long we keep your information
We will hold your personal information on our systems until you ask us to amend it or remove it. This is so that we can provide the services, products or information you have requested, to administer your relationship with us. You can request to unsubscribe from our systems, including hardcopy mailings, at any time by contacting us by email email@example.com or by phone on 01543 262223 (Monday to Friday, 10am-4pm).
You have the right to lodge a complaint about the way we manage your data with the Information Commissioners Office.
What if I’m under 18?
If you are under 18, please make sure that you obtain your parent/guardian’s permission before you provide personal information via our websites or forms.
Photo and video
Lichfield Arts regularly takes photographs and videos at its concerts and festivals. By attending such events, you give us permission to use any general crowd photos you may appear in for marketing and promotional purposes.
